General information relating to Passport, Visa and Consular Services PRAVASI BHARATIYA DIVAS (PBD) : The next Pravasi Bharatiya Divas will be held in Channai on 7-9 January, 2009 Address: NOTE: All faxes relating to Consular Services such as passport, visa, miscellaneous services must be faxed to (061) 237320 for prompt action. Fees are indicated in Namibian Dollars (N$). Please note that additional fees for emergency services have been fixed by the Government of India and this Mission does not have the powers to waive off the payment of this fees. Counter Timings: Services like extension of validity of existing passports legalization / attestation of documents etc. are rendered on the same day. Fresh passports are issued within 3-5 days of the receipt of applications. This time schedule, however, does not apply to cases where prior references are required to be made to other passport issuing authorities. In cases of urgency, provided the applicant is otherwise found eligible, on-the-spot passport services are also extended on payment of an additional fee of N$ 90.00 for issue of fresh passport and N$ 35.00 for each of the other services. Visas are normally issued on the same day between 3.30 p.m. & 5.00 p.m. in the case of applications received at the counter. Emergency Services on Holidays: Note: Please read the relevant guidelines carefully before applying to avoid any inconvenience. Your passport is a valuable document. It should always be either in your own custody or in the custody of a person duly authorized by you. Passports should not be sent out of the country of residence by post. If lost or destroyed, the fact and circumstances should be immediately reported to the nearest Indian Mission and local police. Please keep a photocopy of your passport in a safe place. Without these details, the issue of a duplicate passport may be delayed. It is an offence under the Passports Act 1967 to give false information in the application. Passport acilities can be denied on grounds of suppression of factual information, submission of false particulars, willful damage of passport and for making unauthorized changes in the passports. If you have acquired Namibian citizenship, please surrender the Indian passport to the High Commission of India, Windhoek . The Indian passport is returned to the applicant after cancellation. The cancelled Indian passport should be kept in safe custody, as it may be required at the time of applying for the PIO card, separate passport for children etc. MAILING SERVICE: Outstation applicants may send their application for passport/consular service by mail. There is no emergency service in cases where documents are sent by mail . The documents received by various categories of mail like DHL, Registered mail, Regular mail etc. are treated at par. An application for a duplicate passport in lieu of lost/damaged passport has to be submitted in person at the counter. However, in special circumstances, exceptions can be made with the approval of the Consular Officer. For return of the passport by mail, please send a self-addressed and adequately stamped envelope along with your application. For dispatch of passports by DHL or any other courier service, please make arrangement with the courier service to make the payment at your end on receipt of the passport. T he High Commission of India, Windhoek , is not responsible for documents lost in the mail. Applications sent in by mail normally take about two to three working days for processing. This is in addition to the time taken in the mail. This time schedule does not apply to issue or renewal of passports and some other services, where a reference has to be made to competent authorities in India . Please refrain from making phone or written enquiries in such cases about the status of your application as it may take up to 45 days to receive clearances. MODE OF PAYMENT OF FEE: Please mention the exact amount in the form of Money order/Bank Draft/ in favour of the High Commission of India, Windhoek . Personal checks are not accepted . Cash is accepted only when the application is submitted at the counter at the High Commission of India, Windhoek . Please make sure to take a receipt for the fee paid at the counter and present it for collection of passports/documents. Fee, once received, cannot be refunded even if the application is withdrawn or service cannot be rendered.
